1. About this Policy
This Privacy Policy explains how ARCONEX SERVICES ("Arconex", "we", "us", "our") collects, uses, stores and protects personal data when you visit arconexservices.com (the "Website") or contact us about our services. Arconex Services is a Company licensed by the Dubai Silicon Oasis Authority under licence number 87920, with registered office at Building A1, Dubai Digital Park, Dubai Silicon Oasis, Dubai, United Arab Emirates.
We are committed to protecting personal data in line with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL) and, where applicable to visitors from the European Economic Area or the United Kingdom, the EU General Data Protection Regulation (Regulation (EU) 2016/679) and the UK GDPR.
2. What data we collect
We collect only the data we need to respond to your enquiry and operate the Website.
Data you provide to us — when you submit our contact form, email us, or call us, we collect:
- Full name
- Company or organisation name
- Work email address
- Phone number (if provided)
- Information you choose to share about your project — including location, value range and any free-text description, drawings or attachments
Data collected automatically — when you visit the Website, our hosting infrastructure may automatically collect:
- IP address (truncated where technically possible)
- Browser type and operating system
- Pages visited and the date/time of the visit
- The referring URL
We do not operate behavioural advertising trackers, third-party analytics cookies, or social-media pixels on this Website at the date stated above. If we add any in future, this Policy and our Cookie Notice will be updated, and — where required — consent will be sought.
3. Lawful basis for processing
Under UAE PDPL Article 5 and, where applicable, GDPR Article 6, we process your personal data on the following bases:
- Your consent, which you provide when you tick the consent box on the contact form or contact us by email or phone with an enquiry.
- The performance of a contract with you, or steps taken at your request prior to entering into a contract (for example, preparing a proposal in response to your enquiry).
- Our legitimate interests in operating, securing and improving the Website, in a way that is balanced against your rights and reasonable expectations.
- Compliance with a legal obligation, including tax, anti-money-laundering and corporate-records obligations under UAE law.
4. How we use your data
We use your personal data only for the purposes for which it was collected, including:
- Responding to your enquiry and preparing a proposal
- Delivering, invoicing and supporting any services you engage us for
- Maintaining accounting records as required by UAE Corporate Tax and VAT law
- Securing the Website and preventing fraud or abuse
- Complying with our legal obligations
We do not sell, rent or trade your personal data. We do not use it for direct marketing without your explicit, separate opt-in.
5. Who we share data with
Your personal data is accessed only by authorised Arconex personnel and a small number of trusted service providers, acting as data processors under contractual confidentiality and security obligations:
- Web hosting and email infrastructure providers — for the operation of the Website and the receipt of contact-form submissions and email.
- Google LLC — to the extent that the embedded Google Map on our Contact page loads map tiles from Google's servers when you view that page. Your interaction with that map is governed by Google's privacy policy.
- Professional advisors — accountants, auditors, lawyers — bound by professional confidentiality.
- Government authorities and regulators where disclosure is required by UAE law, court order, or a valid regulatory request.
We do not transfer personal data to other third parties for their own purposes.
6. International data transfers
Some of our service providers may store or process data outside the United Arab Emirates. Where data is transferred to a country that has not been designated as providing an adequate level of protection under UAE PDPL or, where applicable, the GDPR, we rely on appropriate safeguards including standard contractual clauses and supplementary security measures.
7. Data retention
We retain personal data only as long as needed:
- Enquiry data that does not lead to a contract — retained for up to 24 months from last contact, then deleted or anonymised.
- Client engagement data — retained for the duration of the engagement and for a minimum of five (5) years from the end of the engagement, in line with UAE accounting, tax and corporate-records requirements.
- Website server logs — retained for up to 12 months for security and operational diagnostics.
8. Your rights
Under UAE PDPL Article 13, and — where applicable — under the GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate or incomplete personal data
- Erase your personal data, subject to our legal retention obligations
- Restrict or object to certain processing
- Withdraw consent at any time, without affecting the lawfulness of processing carried out before the withdrawal
- Receive your data in a portable format, where technically feasible
- Be informed of any automated decision-making (we do not perform automated decision-making on your data)
- Lodge a complaint with the UAE Data Office, or — for EEA/UK residents — with your local data protection authority
9. How to exercise your rights
To exercise any of the rights above, email [email protected] with the subject line "Data Subject Request", or write to us at Building A1, Dubai Digital Park, Dubai Silicon Oasis, Dubai, United Arab Emirates. We will respond within 30 days. We may need to verify your identity before acting on a request.
10. Security
We apply appropriate technical and organisational measures to protect personal data — including encrypted transport (HTTPS), restricted internal access on a need-to-know basis, and contractual security obligations on our processors. No system is 100% secure, but we take our obligations seriously and notify affected individuals and the relevant authority in the event of a personal-data breach where required by law.
11. Children
The Website is not directed at children under the age of 18, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.
12. Changes to this Policy
We may update this Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be notified prominently on the Website.
